Covid19 Risk Assessment & Procedures: In the Home

Effective for onsite sessions from 4th July 2020

In addition to SortMySpace’s usual Health & Safety Considerations, during the Covid19 pandemic, the following additional procedures will need to be adhered to by all SortMySpace representatives, its clients and members of their households until further notice.

These measures are intended to respect and protect both parties by reducing risk while working in client’s homes. We may amend these procedures subject to any changes within latest Government recommendations.

You will receive an electronic version of the declaration for you to sign electronically before our first onsite session and a phone call the morning of each session to confirm that your circumstances have not changed since signing the document.

During this time, the health and welfare of all parties is of paramount importance to us. Any usual session cancellation fees as detailed in our standard T&Cs will be waived by SortMySpace. We recognize that a client may need to postpone at short notice of a scheduled appointment and equally, we ask that clients appreciate an increased possibility of last-minute changes if any of the SortMySpace team have any health concerns before (or during) visiting your household.

General principles:

We cannot currently work in a household
•   where any individual is presenting one or more of the main Covid-19 symptoms as recognised by the NHS:

  • a high temperature – this means you feel hot to touch on your chest or back (you do not need to measure your temperature)
  • a new, continuous cough – this means coughing a lot for more than an hour, or 3 or more coughing episodes in 24 hours (if you usually have a cough, it may be worse than usual)
  • a loss or change to your sense of smell or taste – this means you've noticed you cannot smell or taste anything, or things smell or taste different to normal

•  which is isolating because one or more family members have symptoms
•  where an individual has been advised to shield (NB: This will be reviewed from 31 July in line with latest Government guidelines at that stage)

We recognize that the benefits of the decluttering / organising services that SortMySpace provides may sometimes outweigh the potential risk of Covid transmission for some of our clients. We will review on a case-by-case basis any household where somebody is clinically vulnerable to see if sufficient preventative measures can be applied for both parties to be comfortable with the level of risk. Please answer honestly in your declaration form for us to discuss further.

SortMySpace representatives reserve the right to decline work or leave a client session if we feel that we cannot guarantee a safe working environment for us and/or our clients.

Personal Protective Equipment (PPE)

It now appears wearing a face covering is unlikely to protect the wearer but may protect others if the wearer is infected but has not developed symptoms. In enclosed spaces where social distancing is not possible, SortMySpace representatives will wear a face covering to protect you from possible asymptomatic transmission. We ask all members of the client’s household to do the same if / when coming into close proximity with SortMySpace representatives. A face covering can be very simple but needs to cover your mouth and nose.

NB: Gloves may be worn for some projects but we feel that increased handwashing and avoiding contact with the face should suffice for most households. Please advise SortMySpace if you would prefer our representative(s) wear gloves throughout the session.

Booking clients:

In the context of Covid-19, when booking work with clients we shall:

  • Ask to work directly with only one person in the client’s household.
  • Prioritise working with our existing customers where the risks can be better ascertained due to our familiarity of these client’s circumstances and space.
  • Conduct a virtual consultation with any new clients to help ascertain the risk and to then optimise any physical onsite sessions we agree to. Virtual consultations are charged at £45 for a 1-hour appointment.
  • Prioritise working situations or projects where the 2-metre rule can be readily followed e.g. working outdoors, working in garages and working in a room without the client.
  • Next prioritise working situations which are well-ventilated and have plenty of space in preference to smaller, tighter, confined spaces.
  • Prioritise projects which require sessions over neighbouring days to limit the number of client households visited in any given week by any SortMySpace representative.
  • Drive or walk to / from a client to avoid travelling by any form of public transport.
  • Phone or text the morning before we attend the appointment to confirm that there has been no change to the client’s situation or our situation

Our declaration to you:

When working in a client’s household, SortMySpace representatives agree that:

Ahead of an onsite session we will:

  • Confirm to the client that we are in good health and not displaying any symptoms of Covid-19.
  • Confirm to the client that we have not been asked to isolate through the Government’s track and trace scheme nor received notification of Covid-19 exposure from any other sources.
  • For new clients, we will conduct a virtual consultation to plan our physical time together the most effectively. Virtual consultations are charged at £45 for a 1-hour appointment.
  • Bring our own food and drink to households and have breaks outside where practical.
  • Drive or walk to / from a client to avoid travelling by any form of public transport.
  • Phone or text the morning before we attend the appointment to confirm that there has been no change to the client’s situation or our situation.

During an onsite session we will:

  • Increase the frequency of surface cleaning (we will provide antibacterial wipes or use cleaning products of client’s choice) to reduce the risk of passing infection on to other people
  • Increase the frequency of handwashing for 20 seconds using soap and hot water. Client to provide soap and a clean hand towel / disposable towels. We will provide hand sanitiser.
  • Pay particular attention to coughing, sneezing and nose-blowing hygiene, such as covering our nose and mouth, disposing of single-use tissues (we will bring disposable tissues) and increased hand washing.
  • Keep 2-metres apart from any other people in the household wherever possible.
  • Provide and wear a face covering for any SortMySpace representative who needs to be within 2-metres of the client or any household member.
  • If we need to be within 2-metres of any member of the client’s household, we shall work back-to-back or side-to-side with the client (rather than face-to-face) whenever possible.

After an onsite session we will:

  • Leave all waste/ recycling with client to avoid potential transmission of infection.
  • Agree to notify the client in the event the SortMySpace representative (or anyone in their household) is asked to quarantine within 14 days of SortMySpace’s visit whether via the Government’s track and trace scheme or having received notification of exposure from any other sources.

Client Covid-19 Declaration

Before our first session you will be asked to electronically sign a copy of this declaration, detailed in full below for ease of reference.

As a client of SortMySpace I confirm that:

 No individual in the household is presenting one or more of the main Covid-19 symptoms as recognised by the NHS:

  • a high temperature – this means you feel hot to touch on your chest or back (you do not need to measure your temperature)
  • a new, continuous cough – this means coughing a lot for more than an hour, or 3 or more coughing episodes in 24 hours (if you usually have a cough, it may be worse than usual)
  • a loss or change to your sense of smell or taste – this means you've noticed you cannot smell or taste anything, or things smell or taste different to normal

 No individual in the household is isolating because they have symptoms

 No individual in the household has been advised to shield

 No individual in the household would be considered as clinically vulnerable (according to latest Government guidelines). E.g.:

  • aged 70 or older (regardless of medical conditions)
  • under 70 with an underlying health condition listed below (that is, anyone instructed to get a flu jab each year on medical grounds):
  • chronic (long-term) mild to moderate respiratory diseases, such as asthma, chronic obstructive pulmonary disease (COPD), emphysema or bronchitis
  • chronic heart disease, such as heart failure
  • chronic kidney disease
  • chronic liver disease, such as hepatitis
  • chronic neurological conditions, such as Parkinson’s disease, motor neurone disease, multiple sclerosis (MS), or cerebral palsy
  • diabetes
  • a weakened immune system as the result of certain conditions or medicines they are taking (such as steroid tablets)
  • being seriously overweight (a body mass index (BMI) of 40 or above)
  • pregnant women

As a client of SortMySpace I confirm that:

Ahead of an onsite session I will:

  • Confirm to SortMySpace that I and any member of my household, are in good health and not displaying any symptoms of Covid-19.
  • Confirm to SortMySpace that we have not been asked to isolate through the Government’s track and trace scheme nor received notification of Covid-19 exposure from any other sources.
  • Provide soap and a clean hand towel / disposable towels in the WC that any SortMySpace representative can use during the session.

During an onsite session I will:

  • Leave all internal doors open and light switches on to minimise any SortMySpace representative’s contact with door handles and buttons.
  • Keep working areas well ventilated.
  • Endeavour to maintain a 2-metre distance from SortMySpace representatives at all times.
  • Provide and wear a face covering for yourself and any household member who needs to be within 2-metres of a SortMySpace representative.
  • Help any SortMySpace representative to adhere to their side of the additional measures as detailed in their declaration above.
  • Inform the SortMySpace representative if you feel uncomfortable with any aspect of our methods of working at any stage of the session.

After an onsite session I will:

  • Arrange for disposal of all waste and/or recycling myself
  • Agree to notify SortMySpace in the event you or any household member is asked to isolate within 14 days of SortMySpace’s visit whether via the Government’s track and trace scheme or having received notification of exposure from any other sources.

I confirm that the information provided above is correct and should there be any changes that I will notify you immediately. 

I also understand that the work is being undertaken at my request. In the event of either party were diagnosed as being Covid-19 positive, that, provided both parties have adhered, as far as practically able, to the additional measures proposed above, that no liability will be accepted / assumed by either myself, as client, or by SortMySpace Ltd and its representatives.
